Registration Terms

These terms govern team entry, payment, withdrawal, rosters, eligibility, and tournament changes for New York Rugby Sevens.

1. Agreement and authority

New York Rugby Club, Inc. operates New York Rugby Sevens. “Registrant” means the adult who submits a team registration. “Team” includes the club, school, organization, players, coaches, and other participants connected with that entry where the context requires.

By submitting a registration or payment, the registrant agrees to these terms on behalf of the registrant and the organization identified in the registration and confirms that the registrant is at least 18 years old and authorized to act for that organization.

Registering a team does not allow the registrant to sign a participant waiver for another adult or for a minor whose parent or legal guardian has not granted that authority.

2. Entry and divisions

A team must provide accurate contact, team, division, and location information. Entry is subject to available capacity, successful payment, published eligibility rules, and completion of required roster and waiver steps.

NY7s may reassign a team to another division when reasonably needed for eligibility or competitive balance. We will notify the registration contact of a material reassignment. If the team declines an NY7s-initiated reassignment, it may withdraw and receive a refund of registration fees paid for that team.

3. Fees, deposits, and balances

The registration page shows the fee for each selected team before checkout. A registrant may be offered full payment or a per-team deposit. If a deposit is selected, the remaining balance and due date shown at checkout and in the confirmation are part of the registration.

Payments are processed by Stripe. Starting checkout does not count as payment or reserve a place. NY7s records payment after receiving successful processor confirmation.

If a balance is not paid by its stated deadline, NY7s may cancel the entry after written notice to the registration contact. Any refund following cancellation is governed by the withdrawal rules below.

4. Withdrawal and refunds

NY7s will refund registration fees paid for a withdrawn team when it receives a written withdrawal request before October 1 of the tournament year. After October 1, registration fees are not refundable, in whole or in part, because NY7s begins committing funds to vendors, insurance, facilities, and other event costs.

A withdrawal request must be emailed to ny7sdirector@newyorkrugby.com from the registration contact address and identify the team and division. Refunds are sent to the original payment method when practical. Bank and card-network processing times may vary.

5. Transfers and changes

A registration may not be resold or transferred to another organization without written approval from NY7s. Requests to change a team name or division are subject to eligibility, capacity, scheduling, and competitive-balance review.

NY7s may correct administrative errors and will keep a record of material registration or payment changes. A change to the amount owed will be communicated to the registration contact.

6. Rosters, waivers, and eligibility

Every player must appear on the required team roster and complete the applicable participant waiver before playing. A parent or legal guardian must complete the minor-player process. Teams are responsible for accurate ages, eligibility information, affiliations, and sanctioning documents.

Participant waivers, medical authorizations, media choices, and governing-body forms are separate documents. Accepting these Registration Terms does not sign those documents for a player.

7. Rules and conduct

Teams must follow the tournament rules, match schedule, venue requirements, referee decisions, safety directions, and applicable governing-body rules. A team that is not ready at its scheduled time may forfeit. Serious misconduct may result in removal from the event and referral to the relevant union.

Removal or forfeiture for ineligibility, noncompliance, or misconduct does not create a right to a refund.

8. Schedule and event changes

NY7s may change match times, fields, formats, and division structures because of entries, field conditions, weather, safety needs, governing-body directions, or circumstances outside its reasonable control. Teams are responsible for monitoring official tournament communications.

If NY7s cancels the tournament in full and does not reschedule it, NY7s will refund registration fees paid. If the tournament is postponed, registrations will transfer to the replacement date. A team that cannot attend the replacement date may request a refund within the deadline stated in the postponement notice. Schedule changes, field changes, delays, or a shortened event after play begins do not create a right to a refund.

9. Risk and participant documents

Rugby and event attendance involve risk of injury, property loss, travel disruption, and weather exposure. Each participant must accept the applicable participant waiver and any medical or media authorization. These Registration Terms do not replace those documents.

10. Communications and privacy

NY7s may send registration confirmations, balance notices, roster and waiver reminders, schedule changes, safety information, and other operational messages to the supplied contact details. Information is handled as described in the Privacy Notice.

11. Disputes and governing law

A registrant should first send a written description of a registration or payment dispute to the tournament director so NY7s can review the registration and payment records.

These terms are governed by New York law, without regard to conflict-of-law rules. Any court proceeding arising from these terms must be brought in a state or federal court located in New York County, New York, unless applicable law requires another forum.

12. General terms

These Registration Terms, the information confirmed at checkout, the tournament rules, the Privacy Notice, and any participant documents that apply form the agreement governing the entry. If they conflict, the checkout confirmation controls payment amounts and dates, the tournament rules control match play, and the participant waiver controls participation risk.

If a provision is unenforceable, it will be modified only as much as needed and the remaining provisions will continue. A failure to enforce a provision is not a waiver. The registrant may not assign these terms or the entry without NY7s’s written approval.

NY7s may update these terms prospectively. The version accepted when a registration is submitted continues to govern that registration unless the parties agree otherwise or law requires a change.
